How much drinking water does an eighteen-person build team actually get through in nine days in Honduras? Almost nobody asks on the planning call, and the honest answer lands near 25 gallons a day once the heat and the concrete work are counted, which is well over 200 gallons for the trip. That figure is what quietly decides whether volunteers spend their evenings driving around for cases of bottled water or whether one of the portable water purification systems built for group travel rides along in the luggage and settles the question on day one. Treating water on site costs a team less than buying it by the bottle, and the unit keeps serving the host community long after the flight home. Most teams reach that conclusion around Wednesday, which is too late to act on it.
Guesthouse Supply Plans Fail On Arrival Day
The guesthouse water plan is rarely written down anywhere. It shows up as one sentence in an email: there is a shop two streets away that sells five-gallon jugs. In practice what turns up most often is a shop with a delivery schedule nobody mentioned, a cooler that empties by Wednesday afternoon, and a shopkeeper who is genuinely apologetic about it. Eighteen volunteers then start rationing, and rationing during outdoor work is how a build schedule quietly slips two days.
The shop works like the only ATM in a small town. It is fine for one traveler withdrawing pocket money, and it is empty by Friday when a payroll arrives. Nothing about the machine is broken. The demand simply showed up in a shape it was never sized for, and an eighteen-person team is a payroll. The heat does not negotiate either.
Bottled Cases Run Out Before The Build Does
Run the arithmetic before you leave. Say a case of twenty half-liter bottles runs about $4.50 locally, which is roughly what teams report paying. Eighteen people working outdoors need something like 95 liters a day, so call it ten cases, or $45. Across nine days that is around $400, plus a few taxi runs and an hour of somebody’s afternoon each time. Set that against a trip budget of $250 per person, $4,500 for the group, and the bottled line item is eating close to a tenth of what everybody raised. Those figures are illustrative rather than quoted, but the shape of them has held across the thirty-odd trips I have planned. Portable water purification systems are a one-time purchase set against a cost that repeats every single day of every single trip.
Scale changes that argument rather than breaking it. UNICEF’s Sudan situation report for May 2026 counted 753,500 people reached with safe water in a single month, while a 71% funding gap held back the wider services around that work. The gap is worth sitting with for a second, because it says something uncomfortable about how much of the world’s water access hangs on whether a donor renews in time. Back to the team, though. The reason a report like that matters on a nine-day church build is the ratio underneath it, since treatment capacity scales and purchased bottles never do.
Answers Teams Wish They Had Before Departure
Three questions come up on nearly every pre-trip call, usually from whoever is handling logistics at eleven at night. The answers are simpler than the equipment specifications make them look. None of them require a single person on the team to be technical.
How Much Water Does A Group Our Size Actually Need?
Plan on a gallon and a half per person per day for outdoor work in the tropics, which puts an eighteen-person team near 27 gallons. A unit rated at roughly a gallon per minute clears that in half an hour of running. The real constraint is somebody remembering to fill containers before breakfast, not throughput.
Can We Just Refill Jugs At A Local Shop Instead?
Sometimes, and the honest problem is that you cannot tell from the counter. A refilled jug may have come from a treated source or straight from a tap, and nothing on the outside of it tells you which. Teams leaning on that arrangement are trusting a supply chain they have no way to inspect, which is a different risk from the one they think they accepted.
What Happens To The Unit After We Fly Home?
The best outcome is that it stays behind. A school or clinic that hosted the team keeps a working source, and the next group arrives to find the water question already answered. Ask before you buy who will own it and where replacement filters come from, because a unit nobody is responsible for stops running by the second dry season.
The Kit That Travels With Every Team
A case unit around 26 pounds checks as luggage. That is the whole trick, and it is why this approach works for volunteer groups rather than only for relief agencies, because one person’s second bag becomes the team’s water supply for nine days. Micro-filtration paired with ultraviolet treatment handles bacteria, viruses and parasites without anybody on the team learning chemistry. Ask for field training on the first afternoon, since the person still operating it in November is probably not on your return flight.
Say the safety part plainly, because teams soften it and then regret it. Do not assume local tap water or a shop’s refilled jug is safe for visiting volunteers. Ice counts, and so does produce rinsed under the tap. The US EPA’s guidance on flooding advises keeping children out of sewage-contaminated water and away from anything it has touched, and it warns that such water carries bacteria, viruses, protozoa and parasites that require medical care if swallowed. A guesthouse tap is not a flood, but the organisms belong to the same families and the response is identical. A volunteer with severe or bloody diarrhoea, or who cannot keep fluids down, needs medical care that day rather than another shift on the build.
The water question is not really a gear question. It is a schedule question, and it gets answered either in February on a planning call or on Wednesday of the build with eighteen tired people standing around an empty cooler. Answering it early costs one bag of luggage and one afternoon of training. Answering it late costs work days nobody gets back, and it leaves the host community exactly where it stood before the team landed.
